The Challenge
The Solution for
Multiple Forms and Large Data:
One of the standout features we’ve introduced in Formtax product design is the ability for tax preparers to upload multiple forms simultaneously, streamlining the entire filing process. We’ve ensured seamless integration with accounting software like QuickBooks and Xero, allowing users to import data directly into Formstax without the need for manual entry.
Additionally, users can import their data from Excel, with specially designed templates that support filing multiple form types. These templates provide predefined columns for all essential information—payer, recipient, form details, and amounts—so users can easily copy and paste data from other systems or fill in the fields directly.
This functionality is especially beneficial for tax preparers managing filings for multiple clients, enabling them to handle large volumes of forms efficiently and accurately.
IRS Accuracy:
In tax filing, precision is paramount—errors can lead to delays or rejections. To tackle this, the product design process involved close collaboration with tax experts to ensure every form and field is dynamically aligned with the most up-to-date IRS compliance regulations, laws, and guidelines.
Each field within Formstax system is intelligent, meaning it automatically detects any inaccuracies based on IRS standards. If an error is identified, the system instantly highlights the issue and provides clear guidance to the user for correction before the form is submitted. This real-time error detection is powered by continuous updates from our tax experts and the IRS FIRE (File Information Returns Electronically) system.
This constant synchronization ensures that every form is compliant with the latest IRS requirements, significantly reducing the risk of filing errors.
Cart and Checkout Flow
Formstax aimed to offer users three flexible options at checkout, each priced according to the number of forms and service level chosen. The user experience design ensures that users can easily select the option that best fits their filing needs:
- E-file, Print & Mail
- E-File Only
- Print & Mail Only
Once a selection is made, the system automatically calculates the total cost based on the form quantity, followed by a simple and efficient checkout process for entering billing details. After completing the transaction, all data is securely stored on Formstax/eFile4Biz servers, ready for electronic submission to the IRS.
Our design objective was to maintain a familiar shopping cart experience, ensuring users feel comfortable and confident when submitting their payment information and receiving the requested service.
Design System
As the Product Designer/Developer for the Formstax/eFile4Biz project, we led the design and development of the design system, focusing on both UI and UX. Our role involved creating a cohesive visual language and user experience across the platform, ensuring that the design system supported consistency, scalability, and efficiency in product development.
We collaborated closely with a cross-functional team, including the Product Owner, Project Managers, Illustrators, Front-End Developers, and Back-End Programmers, to deliver a design system that met user needs and business goals.
Unifying the Interface
The dashboard and interface were meticulously designed to centralize all forms and resources in one unified location. Whether users are filing taxes for personal use, on behalf of a company, as tax preparers managing multiple clients, or as part of a larger team, the design enables seamless collaboration.
Users can easily share IRS form resources, track progress, and manage tax-related tasks with clarity and simplicity. The interface is designed to facilitate teamwork, allowing multiple users to access, edit, and file forms simultaneously while maintaining clear visibility over all actions.
This approach ensures an organized and efficient workflow, regardless of the size or complexity of the user’s filing needs.
